• Enquiry details you give us: your name, email address, telephone number, postcode or site address, and a short description of the work you need help with.
• Appointment and case information: correspondence, notices, drawings, photographs, condition records and award documents relating to a party wall matter.
• Billing information: invoicing name and address, and payment references. We do not store card details.
• Technical information from this website: pages viewed, approximate location derived from IP address, device and browser type. This is aggregated and used to understand how the site is used.

• To respond to enquiries and arrange a call with a surveyor — our legitimate interest in answering people who contact us.
• To carry out a party wall appointment: drafting and serving notices, preparing Schedules of Condition and settling Awards — performance of a contract and, for statutory duties, compliance with a legal obligation under the Party Wall etc. Act 1996.
• To invoice and keep accounting records — legal obligation.
• To keep our own file of a matter in case of a later dispute or claim — legitimate interest.
• To use analytics cookies on this website — consent, which you give or refuse in the cookie banner.

We do not sell personal information and we do not use it for third-party advertising. Information is shared only where the work requires it:

• The other side of a party wall matter — for example an adjoining owner or their appointed surveyor — where the Act requires notices and documents to be served.
• A third surveyor selected under section 10 of the Act, where one has to be called in.
• Service providers who process data on our behalf under contract: email and document hosting, website hosting and analytics, and accounting software.
• Our insurers, and professional or legal advisers, where a claim or complaint arises.
• Regulators, courts or other bodies where we are legally required to disclose.

Enquiries that do not lead to an appointment are deleted within 24 months. Case files, including notices, condition records and Awards, are kept for 15 years from completion, which reflects the period over which a claim about building work can realistically be brought. Accounting records are kept for 7 years as required by HMRC.

Our systems are hosted in the UK and the European Economic Area wherever possible. Where a provider processes data outside the UK, we rely on the UK addendum to the standard contractual clauses or an equivalent safeguard.

Under UK data protection law you can ask us to:

• give you a copy of the information we hold about you;
• correct information that is wrong or incomplete;
• delete information we no longer need to keep;
• restrict or object to how we use it, including where we rely on legitimate interest;
• transfer information you gave us to another provider;
• withdraw consent for analytics cookies at any time.

Some rights are limited where the Party Wall etc. Act 1996 obliges us to keep or serve a document. Write to us and we will respond within one month.

If you are unhappy with our answer you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather hear from you first so we can put it right.

Access to case files is limited to the surveyors and administrators working on a matter. Accounts are protected with strong passwords and multi-factor authentication, devices are encrypted, and we review who has access when someone joins or leaves.

We review this policy at least annually and update it whenever our systems or services change. The date at the top of this page shows when it was last revised.
